This article describes how to post anticipated disbursements within Insight
Creating the Anticipated Disbursement
- Go to Case > Case Enquiry
- Select a Matter
- Click on Disbs Tab
- Right click in the Disbs window
- Select Add
- Enter Date and Reference
- Enter Description
- Enter Gross Amount of Anticipated Disbursement
- Select VAT rate
- Enter VAT amount
- Select Disbursement Type
- Click Save
The Anticipated Disbursement will now appear in the list of Disbursements on the Disbs tab.
Including an Anticipated Disbursement on a Bill Request
- Go to Case Enquiry
- Look up a Matter
- Click on Bill Request
- Complete the main details for Bill, instructions to do that are here: How to Submit a Bill Request
- Go to Disbursements Tab
- Tick the include box for any Anticipated Disbursements available
- Ensure a Bill VAT rate is selected
- Ensure a Type is selected
- Complete the remainder of the Bill request
- Click Submit
**The Anticipated Disbursement will now appear on the Bill but will not appear as a debit on the office ledger until it is posted using the O4 Office Disbursement posting**
Deleting an Anticipated Disbursement
- Go to Case Enquiry
- Look up Matter
- Click on Disbs tab
- Select the required Anticipated Disbursement
- Right click on Disbursement
- Select Delete
**The Anticipated Disbursement will now be removed from the Disbs tab**
Posting an Anticipated Disbursement to the Ledger
- Go to Accounts
- Select Client
- Look up Matter
- Select O4 Office Disbursement
- Click on the drop-down list for Prebilled
- Select the required Anticipated Disbursement
- Enter any changes to the disbursement details
- Select where the disbursement is being paid from. See How to Post an Office Disbursement for more details
- Select Debit or Credit and enter Payee if applicable
- Click Post
**The Disbursement will now appear as a debit on the office ledger**
