This article details the different stages and actions included in Posting a Bill in Insight Legal.
Matter Posting
- Select Accounts and Client from within the posting group
- In Matter Lookup search for and select the matter you want to post into
- Select the Client and the Matter
- In Posting select 06 Office Bill which will open
Details Tab
- Enter the relevant date for the bill

Enter the reference in the Ref. box
This area is used to store the bill number and can be manually typed or input with Auto Bill Numbering
- Enter a description

Enter the Costs. Make sure to check the costs and VAT rate is correct
- If you are using the time recording entries to calculate your costs, you can leave the costs at 0.00 on this tab
- Disbursements will be input at a later stage, so these will both be at 0.00
Time Tab
If you need to include time, it is worth reviewing how this needs to be done, as there are a few ways to do it.
Auto Select Time
- To bill time up to a fixed monetary amount and then write off or leave outstanding the remaining time, you can enter the value in the Costs field on the Details tab and click 'Auto Select Time.'
- When this is selected, Insight will only select time entries up to the value entered in the 'Costs' field
- You can choose to do this by 'Whole Entries by Date' or 'Part Bill All'
- This will leave the remainder to be billed or written off
- If you want to write off the remaining time on this bill, you can tick the Write Off Remaining box
Billing for a specific date range

To bill for a specific date range, enter the dates needed and click 'All'
- This will only select the entries in the range provided

The 'Costs' field will auto populate with the value of the time selected
- It is worth checking the time value shown at the bottom of the screen.
Billing all time entries

If you need to bill all entries on the matter, click 'All'
- Check totals at the bottom of the tab

The 'Costs' field will auto populate with the value of the time selected
Make sure the date range is left blank.
Billing specific entries
- If you only want to bill specific entries, tick the relevant entries to include them on the bill
- Check totals at the bottom of the tab
- The 'Costs' field will auto populate with the value of the time selected
Billing fixed fees
- To bill for a set amount but not use the auto time function select the time entries using one of the above methods
- Overtype the Costs amount

The time value will remain the same, but the amount of the costs to the client has changed
This will not write off the time or leave outstanding but will mark the time as fully billed
Manually amending the 'To Bill' amount
- To amend the amount to be billed you can manually overtype the amount shown in the 'To Bill' column
Disbursements Tab
This tab shows any unbilled disbursements posted using the How to Post an Office Disbursement
- To include a disbursement tick the 'Include' tick box
- Using the dropdown select the bill VAT rate
- The disbursements and Total at the bottom of the tab will update
- To add an anticipated disbursement to the bill, right click and click 'Add'
- Enter the details of this disbursement
Once billed, the details of this anticipated disbursement will be available in the O4 Disbursement posting type when the disbursement is paid out. |
Client Disbursement Tab
This allows you to include any client disbursements which would have been posted using the C4 client disbursement posting type
- Including a client disbursement will not impact the total of the bill
Allocation Tab
This allows you to view and amend the fee earner allocation on this bill

Allocation Methods are:
- By Time - the default
- All to Fee Earner Responsible
- Even Split
- If there is no time, it will allocate it to the fee earner responsible
- To manually amend these figures click on the amount and type changes
- To add another Fee Earner right click and select 'Add'
- Choose the relevant fee earner and enter the amount
Document Tab
If you have bill templates set up on the system, you can use this screen to select it
- Tick the bill to be produced
- Tick the client to send the bill to
- The document will be automatically produced when you post the bill
Summary Tab
This tab will show you any warnings relating to info on the other pages
- Resolve any warnings by going to the relevant Tab
- When all the warnings have been resolved, post the bill by clicking 'Post'
- If you had selected a template, the document for the bill will now be generated
- The bill will now be shown on the office ledger
