This article explains how each Action Type can be completed in Insight™ Legal.
When using a workflow on a matter through Case Enquiry, each task will need to be completed. Below are the different ways each Action Type can be completed:
Attach File
You can attach a file by:
- Dragging and dropping any document or email into the field.

Once the file is attached to the field, click on the Action button on the right of the task.
Capture User Data
To capture user data:
- Enter the relevant information.
- Once done, click the Save button.
Link Contact
To link a contact:
- Enter the criteria required.
- Click on the Search icon to search for existing contacts in Insight™ Legal.
- Once you have entered all required information, click on the Action button.
Link Matters
To link a matter:
- Enter the Matter Reference or click on Lookup to search for the matter.
- Once the matter is entered, click on the Action button.

Milestones Hit
The Milestones Hit Action Type is predominantly set as auto-complete, and you will not have to interact with it on the workflow. There is a complete action button on the right-hand side of the task if the task is available to complete manually.

Phase Change
The Phase Change Action Type is predominantly set as auto-complete, and you will not have to interact with it on the workflow. There is a complete action button on the right-hand side of the task if the task is available to complete manually.

Posting Request
To complete a posting request:
- Enter the relevant details for the request.
- Click Submit.
Produce Document
To produce a document:
- Click on the Action button, and a Document Production box will open where you can produce the document and amend it if needed.

Once it's marked as complete, the task will also be complete.
SDLT Form
To produce an SDLT Form:
- Click on the Action button, and a Document Production box will open, where you can produce the form and amend it if needed.

Once it's marked as complete, the task will also be complete.
Property Search
To run a property search:
- Select whether you want to create an order or link an existing order.

To create an Order:
- Make sure the Order is selected and click Start Quote.
- A web browser will open where you will begin the quote.

To link an existing Order:
- Make sure the Order is selected; this will bring through a list of existing orders onto the task.
- Select the relevant existing Order.
Record Time
To record time:
- Click on the Action button, and Time Recorder with open with the credentials set up for the task.
Run Calculation
The Run Calculation Action Type is predominantly set as auto complete and you will not have to interact with it on the workflow. There is a complete action button on the right-hand side of the task, if the task is available to complete manually.
Send Email
To produce an email:
- Click on the Email icon, and the email in Outlook will open.

To attach documents to the email, drag and drop the relevant documents over the Attachment drop-down arrow where an attach file field will be visible.
Send Email Template
To produce an email template:

Click on the Email icon. and an email template will open in Outlook.
For Send Email and Send Email Template actions to work, you will need the correct Outlook add-in installed and enabled.

Task Status Change
To action a task status change, click on the appropriate icon on the right-hand side of the task.

Visit URL
To visit a URL:
- Click on the Hyperlink, and a web browser will open with the appropriate site.

The task can be set that once the web browser opens the task will autocomplete.
You can manually complete the task by clicking on the action button on the right of the task.
Copy File
The Copy File Type is predominantly set as auto complete and you will not have to interact with it on the workflow. There is a complete action button on the right-hand side of the task, if the task is available to complete manually.
