This article will explore the Bulk Close Matters feature within Insight Legal.
Permissions
A permission that administers this feature can be found under the administration group.
To access the authorised screen, navigate to the System module, where you will find the new Close Matters icon added to the ribbon.
The Bulk Close Matters screen has been designed to use filters to load your open matters for closure. The screen includes a table with the necessary Matter data that enables you to make informed decisions before closing matters.
At the bottom of the screen, you will find a Summary section, which gives you an overall view with important information as part of the bulk operation.
Bulk Close Matters
1. Data Filters
The data filters can be used to search and find open matters that meet your criteria.
Opened Matters can be searched and found using the following filters:
- Date range
- Department
- Fee Earner
- Matter Type
- Branch
2. Matter Data Table
The following information relating to the matter has been included:
- Reference
- Client
- Matter Type
- Fee Earner
- Date Opened
- Last Transaction Date
- Last Time Recorded Date
- Balances (Client, Office, Deposit, WIP)
- Financial Activity Checks (Posting Requests, Bill Requests, Anticipated Disbursements)
- General Checks (Undertakings, Tasks)
- Destroy Date
- Closure Status
These columns are part of the due dilligence checks. They have been intentionally grouped this way, to allow you to make necessary data driven decisions. These columns also highlight why matters are non- eligible for closure (positive balance, active undertakings, or both).
Checkboxes
- Three Checkboxes have been included at the top; these checkboxes regulate the enablement of matters with warnings to be included for closure.
- The Checkboxes guide you to review important matter warnings, helping you make informed decisions before selecting matters for closure.
- When landing on the Bulk Matters screen, by default, none of the matters are selected for closure.
i. Write Off Time - When selected, they allow you to select all Matters with work in progress time to be written off.
ii. Dismiss Requests - When selected, they allow you to select all matters found with outstanding requests.
iii. Dismiss Active Tasks - When selected, they allow you to select all matters found with active tasks.
Eligible Matters for Closure
The Warning Icons column contains icons that guide you to which matters are eligible or non-eligible for closure.
- Matters that have a Red Warning icon are NOT eligible for closure; this means that there's a positive balance on the matter or there is an active undertaking against the matter, or both.
- Matters with an Orange Warning icon are eligible for closure, but contain warnings.
- Hovering over these icons will give the you more information about the particular matter.
3. Summary Section
- The Summary Section, summarises all the checks and actions that will be taken by the system as part of the bulk operation.
- The Summary will Only represent information relating to the specific matters that have been selected.
