This article explains how to create a new client and matter, including conflict checks, client setup, AML search, and matter configuration.

To Set Up a New Client and Matter:
1. Start a New Client
Go to Quick Links on the right-hand side and select New Client. This will open the conflict search window
Enter the client’s name to check whether they already exist in the system. If no match is found, you can proceed to create them as a new entry
You can also print the search results for your records if needed. Once complete, click Finish at the bottom-right corner
2. Enter Client Information
Select the client type: Individual, Group, or Company

Enter the client’s information:
For the address, type in a postcode, click Search, and choose the correct option from the dropdown list. Alternatively, you can manually enter the full address, including international addresses

Under Contact Details, enter the client information:
- Mobile number
- Home number
- Work number

You can also add identification information such as:
- National Insurance number
- Passport number
- Driving licence number
In the GDPR section, select the applicable option. If the client consents to marketing, tick the appropriate boxes and leave a note if needed
3. Save or Continue to AML
At the bottom-right corner, choose either:
- Save and Finish – Creates the contact card only with no Matter associated
- Save and Continue – Takes you into the next step, which is AML Search, and opens the Matter
If your firm subscribes to AML services, you will see a price list and can complete the search from there. Otherwise, select Skip to proceed to entering the Matter details.
4. Enter Matter Details
Start with a description of the matter, then match the matter type to that description
The Date Open should be today’s date

You can also add optional fields such as:
- Review date
- Case plan date
- Case auction date
- Limitation date
Fill these in if they apply and leave a note if needed
5: Configure Matter Information
Choose your hourly rate and optionally set a limit on the matter.
Then:
- Select the appropriate option under Source
- Select the appropriate VAT option
- Check the box if you need to use J Codes
If the matter involves property details, you can enter the following info:
- House number and postcode
- Plot number and plot description
- Price
- Title number
- Ownership type
- Exchange date
- Completion date
Step 6: Save and Finish
Once all details have been completed, click Save and Finish, then click Finish again to confirm.
