Closing a Matter
**Matters/Cases can only be closed if the Office, Client and Deposit balances are zero.**
**WIP can be written off on a matter at the time of closure.**
- Go to Cases
- Select Matter in the Maintenance area
- Search for the relevant matter using the Matter Lookup search bar
- Scroll down, there is be a section that allows you to close the matter
- Once selected, you will see the matter details appear on the right
If you have the relevant permissions (these can be changed under ‘System’->’Staff and Fee Earners', see ‘Creating a Staff Member’ guide), you will be able to manually enter the Destroy File date for this Matter. This will not automatically destroy the matter on this date but will flag it as being able to be redacted.
- Enter the Closed date, and you can then enter an Archive Location if needed
**If you have set a ‘Years Before Destroy Date’ value for this matter’s department, the ‘Destroy File’ date will prepopulate but can be manually amended if needed, as discussed above. These settings can be amended in your System Settings**
- Once all of the relevant details have been entered, click Close
- If there is any WIP, any active posting requests, any anticipated disbursements, or any active Tasks on the matter, you will receive a warning message to Clear Active Items
- Click Yes if you would like Insight to write off the WIP and dismiss the requests and Tasks
- Once you click Close, the dates and archive location will be added to the matter details
- Click Save
This matter will now be closed, meaning no more postings or time recording entries can be allocated to it
Re-Opening a Matter
If you need to re-open a matter:
- Go to Cases
- Select Matter in the Maintenance area
- Search for the relevant matter using the Matter Lookup
Once selected, you will see the matter details appear on the right
There is be a section that allows you to re-open the matter
- Enter the relevant date in the Re-Opened field and click Re-Open
- Click Save in the top left corner.
The matter has now been re-opened and can have postings and time recording entries allocated against it.
