This article explains how to share a file within Portal in Insight™ Legal.
Sharing from Matter Files
- To share from matter file, go to your Matter
- Go to Matter Files, right-click on the document
- Select Publish to Portal
- Select a Share With option. This will be a list of the Case Roles you have set up in Portal Settings

If the file type can be converted to PDF (e.g., .docx, .doc, .xls, .msg), you will see a Convert to PDF tick box.
If you tick the Convert to PDF box, you will have two Conversion Mode options to choose from:

Once shared, any client/contact with the selected role will be able to access the document in the Portal. A document can be shared with multiple roles, but you will have to go through the sharing process multiple times. Any files that have been shared to the Portal will have an icon next to them, and hovering over the icon shows which roles have access |
Using the Share File on Portal Task Action
- In Task Definitions, a new Share File on Portal action is available
- Enter a Name and Notes as usual
- Select a Share With option, which will list the roles that have been set
- When using the task Case Enquiry
- Click the Choose File option
Only files saved to Matter Files can be chosen, and only one file can be chosen per Share File action. |
- The File Picker window will open
- The Convert to PDF option may become available if the file type can be converted to PDF, and the Latest/Current Version options will be available
- Click the Play button to complete the action
- This will share the document to Portal
Once the file has been shared, anyone with an invite to Portal on that role (for that specific matter) will be able to download it, and Matter Files will update to show it has been shared. |
Removing File from Portal
- To stop sharing a file to Portal, right-click on the file in Matter Files
- Select Remove from Portal
- The following pop up will appear
- Click Yes to confirm
- The Shared to Portal Icon will be removed
