This article shows how to make an appointment within Insight
Creating an Appointment
Once the Exchange Account which links the Outlook Calendar to Insight has been set up, appointments can be created on the Case Enquiry screen. Please see How to Set Up your Outlook Calendar to help you set up the exchange link.
- On the Case Enquiry Menu ribbon, the Appointment button will now be available
- Click on the Appointment button
- This will open an Outlook Calendar Appointment window with the Client Name, Matter Reference and Description at the top and populated in the Subject Line
- Amend the subject line if desired
- Once the subject and Location fields have been amended, then select the date and time of the appointment and add any further details in the text box below
- Once all details have been entered in the appointment, click Save and close to save the appointment to Insight and to the Outlook Calendar
Adding Attendees
- If other Insight users need to access and edit the appointment through Insight, they must be added as attendees. Click the Invite Attendees button in the menu ribbon
- This will show a TO field above the subject line.
- Click on To and add the names of the staff members by using the address list. Individuals or groups can be added
- Once all members have been added, click Send. This will save the appointment to Insight and Outlook. It will also notify the other members of staff that an appointment has been added
Editing / Deleting Appointments
- After the appointment has been created, the edit & delete buttons will appear once the appointment has been fully synchronised between Insight and your Microsoft 365. This can take up to 2 minutes to refresh
- If you want the change to be quick you can use the Refresh Case button in Case Enquiry to update the details
- From the Appointments tab you can now edited or deleted any appointments by using the pen icon to edit or the X icon to delete
- Only users linked to the Microsoft 365 account the appointment was created in will be able to edit or delete the appointment. If you did not create the appointment you will see the below message:
- If you do not have your Microsoft 365 account set up and the appointment exists in the Insight database, you will see an option to launch the setup window to link your account to Insight.
