Archiving your forms

Finalised forms can be Archived when the form has been completed.

Draft forms can be Archived if the form is abandoned – this keeps your Existing Forms list current.

Forms can be easily Unarchived.

In the future, Archived forms will fall automatically under the EvoShred function that auto deletes forms you should no longer be digitally storing.
Once you have completed a case/matter you can archive your forms so that they will not appear on your list of current live works. Shorter lists refresh more quickly.
Forms can be archived by simply clicking the Archive button.
You can also archive non-complete draft forms if a case matter has been abandoned or is on hold for the foreseeable future.
Unarchiving your forms
Any forms which have been archived can be easily unarchived by clicking the Unarchive button. This button is only visible when you are in an archived form.
Archived and all forms are stored by default for a period of 2500 days (7 Years) at which time they will be auto deleted. Ghost records of deleted forms will remain viewable indefinitely, they will contain the Form ID, Matter reference, Keywords, Audit trail and what member of staff created the form. This help you to have a trail and refence for all forms, even those you thought were no longer needed
EvoShred - Data Retention Policy
EvoShred applies to the whole of FormEvo and gives your firm system administrator complete control over the data retention policy.
It allows them to:
- Customise the length of time form and personal data is kept for each Legal Form category.
- Make manual deletions in the instance of one-offs such as at third party requests.
- Override automated deletions on a case-by-case basis.
