This article explores Periods and Years System Settings in Insight.
Insight is a date-driven accounts system; as a result, the dates of the transactions are important.
1. In the System Settings, there is an option to go into the Periods and Years menu and unlock a particular period. You can unlock a period for accounts postings only, for time recording only, or you can have both open.
Go to System > Settings > Periods and Years:
2. You can see from the above that the Current Period is “1 – Apr – 2025”. The financial year started in May 2024, so Apr is period 12. On the right-hand side, you can see that 1-Apr-2025 doesn’t have a padlock icon beside it. This means that Apr is the only month open for postings.
You can also see that all periods have a red line through the stopwatch, apart from 1 Apr-2025. This means that all periods are currently locked for time recording apart from 1-Apr-2025.
Period Settings
1. Period settings shows you which month in the system is set to your current period. The current period is the default period for all reports when running them. The current period will change by default when running the period end routines, but you can change this in the periods and years settings by click on the drop-down arrow and selecting the month you wish to be the current period.
2. The Close Time At: M – Month End or Y – Year End option is the time recording function for that month to be locked down. If you select M – Month End this will lock the time recording for posting when you run the month end routine, whereas if you select Y – Year End once you run the year end process it will lock all the time recording periods down then.
3. To manually unlock a period, select the period so that it is highlighted as shown in the screenshot.
4. At the bottom of the page, you will see two tick boxes, one for Posting Locked and one for Time Locked. Untick the relevant boxes to allow users to post and/or time record for this period. Click Save in the top left once you are happy.
