This is a training guide for Unity® Practice Management.
Logging On
When logging onto Unity, you need to type your firstname.lastname, click forgot password, and then create a password. Your password must include a capital letter, a lowercase letter, a number, a special character, and be at least 10 characters long. You will also be asked to provide a mobile number or a Google Authenticator number to receive a security code on your first login.

Main Page
The main page is an overview of stats with nominal figures and graphs.
- Click on the arrow in the left navigation pane. If you are a fee earner, you can view several reports and your stats.
- There is also a Quick Links box, which can be used to get to some menu items more efficiently.

On the left-hand side, there is an expanded menu with all the tabs to move around the system.
Favourites Tab
To add a tab to the top Favourites tab, find the tab you would like to make Favourite and click on the Star icon and it will add it to the top. If you would like to remove a tab from the Favourite tab click on the Star icon again and it will then remove it.
New Client
To add a New Client, click on the New Client button, and Launch Conflict Search to see if first, the client is in the database or if you have acted for the client on the other side.
- For #2 from the drop-down box, select the correct client type. You can now fill in all the boxes with your client’s information.

Once everything is completed in the boxes, click on “save and continue” this will allow you to create the client and the case.
Anti- Money Laundering Check
The Anti Money Laundering (AML) search is a paid Add On.
New Case
To Add a New Case:
- Enter in all the details of the case that is being opened.
- At this time the notes box can also be used for additional information.

Click on Save and Continue button and your client and case will be created.
Clients and Case
To make any edits to the fields click on the Edit icon and make the relevant changes and press submit at the bottom of the window to save changes.
To open any additional Client, Case or Contact, click on the New button to expand the menu and then proceed to follow the prompts.
View Account Ledger
Search for your client and then click on View Summary and go to Account Ledger.
If you want any additional information, check the box and click on Report.
The report will show all the financial transactions that have happened on the case to date.
Example of an Accounts Ledger:
This will show all the financial movement between the client, office and deposit accounts.
View a Billing Guide
Search for your client and click on View Summary and go to Billing Guide.
If you want any additional information, check the box and click on Report. This will show all time recording entries to date.
Example of a Time Recording Ledger:
This will show all the work in progress that hasn’t been billed yet.
New E-Chit
On the Quick Links menu click onto New E-Chit. A menu will open and select the type of E- Chit you would like to create.
Office E-Chit Payment
To record an office payment, you will need to fill out the office E-Chit with all the details of the transaction.
An example of an office payment: Land Reg/Search fees, court fees.
Office E-Chit Receipt
To record an office receipt, you will need to fill out the office E-Chit with all the details of the transaction.
An example of an Office Receipt: Invoice fee, Office Disbursements.
Client E-Chit Payment
To record a client payment, you will need to fill out the client E-Chit with all the details of the transaction.
An example of a client payment: purchase funds, estate agent fees.
Client E-Chit Receipt
To record a client receipt, you will need to fill out the client E-Chit with all the details of the transaction.
An example of a client receipt: sale funds, money on account.
Deposit E-Chit
Deposit E-Chit is used for having a separate account with interest bearing for the client money.
Transfer E-Chit
E-chit used to transfer money between bank accounts for example client to office transfer.
Journal E-Chit
This E-Chit is used to move money between one account ledger (debit) to another account ledger (credit). Can be used for a sale matter to a purchase matter.
Bills Assembly
- To bring the WIP into the Bill, click on the Get WIP Costs button.
- To override the WIP cost to a fixed cost, type the amount into the box.
- TT Charges are for transfer fee.
- To Manage Disbursements, click on Get Unbilled Disbursements button to bring in the disbursements if any need to be removed click the minus – button to the right to remove.

Use the notes box to add any notes to/from the cashier.
To assemble the bill, type any details into the cost description box. If there is a template set up within the firm, then click generate tab to produce a word document bill.
Time Recording
On the left-hand side select the time recording option. Here you will be able to record time spent working on the client.
From the dropdown boxes select the rate and attendance code. Add in the subject and any notes.

Time Recording Stopwatch
The Stopwatch is located at the top of the page in blue, this will follow along page to page.
- You can also have more than one stopwatch at the same time, once you start a new one it will automatically pause the previous one. These will be located on the right-hand side of the window.

When the time is submitted, it will reflect at the bottom of the page. Here you will have more options, such as edit or print notes and if you check the box, you can delete the selected.
Time recording will need to be submitted to the ledger; this can be done at any point in the day.
Reports
On the Reports tab, find the report you would like to view:
- You can search for a report by using the search bar. You can also make a report a favourite by clicking the Favorites icon marked by a star.
- Once you find the report you would like to produce you can fill in the fields as well as select from any of the dropdown options.

Once you have selected everything you would like to see in the report, click on the Report button.
You can also change how to view the report.
Office Add-Ins
Click on initials at the bottom left-hand side settings, tools, window apps. Download and install Word, Outlook and Excel.
Documents Folder
- From the Documents Folder, you can view Word documents, PDFs, Emails within this window.
- You can view the items in the folders or by pressing on All Case Documents to see everything in one view.
- You can change the Group By view and Order By.
- You can also select a label.
- To find an item you can use the search bar at the top left.
Merging Documents
To produce a document from Templates. Go to the templates button and on the top right- hand side find the folder and the document you would like to produce and click on merge.
Saving Word Documents
Once the document is opened in Word you can then make your changes and click Save at the top left side to Save to Unity.
Fill in the dialog box with the information of the case and click ok at the bottom.
Unity Email
To send a new email to a client. Open Outlook Classic and click on New Unity Email. Fill in the dialog box with the information of the case and click ok at the bottom.
A normal Outlook email will open. From here ensure the thread is not edited at any point as this will break the thread and the emails will no longer save back to Unity automatically. Once everything is filled in, click on send, the email will be saved in Outlook and Unity.
Please note to save an email without a thread. Right click on the email and click on save to Unity. As well as right click and save attachment to Unity. Best to save attachments separately as it’s easier to find.
Extras
To contact support, you will find a speech bubble at the bottom right-hand side of the page, click that to open and this menu will appear, fill this in with your contact details and inquiry and support will get back to you.
To change the screen view to night mode, click on your initials at the bottom left-hand side of the screen and toggle the button Night Mode.
