Custom Case Fields
When managing your cases you often need to store essential pieces of information pertinent to the case type, which enable you to access and use this information in a more efficient way.
In addition to all of the standard fields available to you in your Unity® Practice Management cases there is also an option to add a series of Custom Case Fields which let you store the additional information you need.
These fields can be populated as you go along your case, and also added to letter templates with the document management system so they will auto-populate data, reducing the need for manual input into your letters.
You have a choice when setting up your Custom Case Fields whether to:
- Create a set of fields per case type
- Create fields where the same ones may be needed across more than one case type
- Create one uniform set of fields for use across all case types
How do I get started?
Click on your name at the bottom left of your Quill window and select Settings |

Click the Maintain Lists dropdown and select Case Fields. The User Defined Fields window will appear on the right of your screen. You can now start to build your custom fields |
Manage Groups
You can group your custom fields together, to make it easier to locate the fields you want to complete on your case:
To do this, click Manage Groups on the right of your User Defined Field window. This will open the User Defined Field Group window |
Choose the Case Type you wish to create a group for and enter a group Name. Then click Submit. This will add your group to the list at the bottom |

You can add as many groups as you wish to the list. Once you have created all the groups you need click on Manage Fields on the right and this will take you back to the User Defined Field window |
Please note, you don’t have to create groups if you don’t want to. For any case types with no groups created, the fields will go to a Default group.
Manage Fields
You can now start to build the fields you need on your case type:
Ensure you have the correct Case Type selected, then you should see any groups you have created in the Case Group drop down. Select the Group you want to add your field to |
Complete the remaining boxes in turn, then click Submit to add the field to your list | |
Field Type: how do you want to input the data? Name: what do you want to label it? Display Order: where do you want it to appear on your list? List: freetype options list for “List” field types Field Length: what is the maximum length for your field? Min/Max Value: for Money and Number field types (you can use a minus for minimum value) Default Value: you can leave blank or enter 0.00 for money, or Today for date, etc. Mandatory: is this an essential field to complete? Visible: you can switch off if it should be no longer visible |
You will now see your fields build up in your list. The iTag code can be used to add to your templates. |
How do I create the same fields for multiple case types?
Select the case type you wish to copy the fields to, then at the bottom right select the case type you are copying them from and click Copy. |
Inputting Custom Case Fields on a Case

When in a case, next to the fee earner details click the pencil icon to edit. Then select Custom Case Fields. |
You will see all the Custom Case Fields for your case type and can input the data as you go along your case. You must click Submit to save any changes. |
How do I add these fields to my templates?

If you are using Unity® Practice Management’s document management system, you can add these fields to your templates by clicking Actions (Merge) and Add Fields on your Unity® Practice Management Add-In, then selecting Custom Case Fields when the iTag fields pop up window appears. |
